ACCOUNTING CLERK / ADMIN ASSISTANT TO OFFICE OF CEO/COO
Retrieve mail each morning from CEO/COO Executive Assistant and sort for bills and provide mail to Money Manager for CEO/COO
Maintain QB for 19+ entities to include reconciliation of bank statements, preparation of checks on payables for Money Manager approval and signature and preparation of deposits for those entities for Money Manager review.
Data entry on all QB accounts for all deposits and wires and journal entries as provided by Money Manager
As Payable Clerk, review all invoices and call for supporting information as required before submitting to Money Manager for approval.
Maintain financial Binders for Trust Accounts and Investment Accounts for Money Manager
Maintain RE spreadsheet on RE entities for budget purposes for Money Manager
Maintain Insurance spreadsheet on all of CEO/COO assets, to include policy numbers, renewal dates and amount of premiums. Submit to Money Manager a month in advance when policies are to renew for purposes of review of coverage and re-quotes.
Coordinate on Crew of Caribbean based Yacht monthly budget to provide to Money Manager for approval and reconciliation of Crew’s monthly Credit Card, Petty Cash and Expense Report. Coordinate with Executive Assistant 2 on monthly pay of Crew to submit to Money Manager for Crew’s pay wires at the first of each month.
Coordinate with Executive Assistant the monthly Charters for both Vessels and prepare Charter Yacht agreements for California based yacht for Money Manager review.
Monthly review of QB accounts with Money Manager for budget purposes
Maintain office supplies and aircraft in-flight supplies to assure all items to be chilled are stocked and available for CEO/COO
Coordination of office equipment and IT support for Money Manager from appropriate Company employee
Coordination of communications with Company employees for transactions and projects required by Money Manager
Follow through on all tasks assigned by Money Manager on behalf of CEO/C
