Looking for someone who is extremely organized and excellent at communication, follow through and has experience working for a high profile family (preferably in entertainment).

 

This hybrid role is part assisting and reporting to the Estate Manager of a very busy and large entertainment family.  You will be expected to wear many hats.  This family has quite a large extended family and your job will be to act as concierge for all extended family requests including, working with family travel agent for all travel request and itineraries, getting approval from Principals on all requests for tickets, hotels, concert tickets etc and following thru.  You are the lead in house contact for all of these arrangements for several extended family members.  Must have an excellent phone demeanor, be extremely organized and detail oriented as well as a master at logistics and communication.

Your other responsibilities will include backing up the Estate Manager when needed.  The EM will delegate to you and you will report back to her, as well as one of the principals.  You will be there to help the EM stay on task, help with vender meetings and overseeing some construction projects or anything else that pops up.

 

This is an on call type of job, b/c as point person for travel there are a lot of moving parts.  You will be expected to be in the home office 10-5pmish with flexibility and always reachable via text, email or phone in case things pop up!  This family does respect life balance so if it’s an extra busy week there will be days off when things settle down.

Organize and attend team meetings within the Business organization.

What you’ve accomplished:

BA / BS Preferred.
3-7 years of executive assistant/administrative experience.

Duties include but are not limited to: Management of ever changing calendars/schedules (personal and kids), making and organizing appointments, organizing files, errands/shopping, returns, working with house manager and staff, booking reservations for restaurants/hotels/travel, responding to calls and emails, reminding employer of important dates/meetings, meeting prep, research and personal deliveries.

Part Time House Manager Palm Desert

Seeking an experienced and LOCAL to Palm desert, part time house manager to start January Unless someone is free now to assist with some needs). Will work closely with an EM who is based in LA for the client and currently manages 2 homes here.    The couple have 2 homes–one is resort style and is a very large grand home.  The other home is lovely as well but smaller and will be staged for sale in 2019. The role calls for someone ON IT at all times.  . The ideal candidate will know a high end homes very well and what it means to care for them, what the client wants when they get to the home in terms of service, and will also be forward thinking about the needs of the clients and the home.    This calls for someone who is also self directed.   Will work with the client’s designer, will  set up the home for every single time the clients come to town (nearly every weekend October-May). The clients, who are lovely, seek to see PERFECTION every time before they come. MUST think about walk throughs to truly ensure that all is always in working and perfect order.  The LA EM will come out  2 times a month.    In season the role calls for around 20-30 hours depending on the week (maybe more). But can guarantee 20 hours. Slower off season but that’s the time we want to make sure home is perfect and ready for the next season. $40 an hour.
