A high-profile startup CEO is looking for an extremely hungry, motivated, driven, and detail oriented Executive Assistant who loves working in a fast paced, high-energy environment. This is an opportunity for a highly organized individual to work directly for and with the CEO. The ideal candidate is highly professional and has experience working with executives. This person should possess the ability to multi-task, think strategically, create efficiencies, stay flexible, and stay one step ahead. This is a dynamic role where you will be assisting our business with many with day-to-day tasks. The CEO is a serial entrepreneur who has been successful before, is working on a few exciting ventures and is creating a very warm and cool culture.  There is ample opportunity to learn so much.  Los Feliz, 65K plus benefits.

Responsibilities

  •  70% EA, 30% PA
  •  Be a strategic partner by handling a busy meeting calendar including adding, canceling 
and editing meeting requests, as well as ensuring timing and logistical details are in 
place to maximize the CEO’s efforts while acting as a liaison on behalf of CEO
  •  Gatekeeper to CEO and businesses (podcasts, events, press, meetings, personal,
  •  Work with CEO to manage priorities on a daily, weekly, and yearly basis
  •  Coordinate, calendar, and manage over 100 meetings monthly
  •  Coordinate complex domestic and international travel, creating and managing detailed 
itineraries and handling rescheduling/rebooking
  •  Travel with CEO as necessary
  •  Communicate directly with talent, clients, agents, investors, and other high level 
executives
  •  Manage multiple projects simultaneously, capturing all items in a project management 
tool and/or Google Sheets, updating CEO on progress regularly and proactively
  •  Ensure CEO is on time to appointments and meetings as well as has all needed personal 
and business items
  •  Organize and maintain rolodex and relationships
  •  Proactively and meticulously track expenses, submitting expense reports proactively and 
in a timely manner
  •  Act as a temporary office manager ensuring company has all full stock of all office 
materials and products.
  •  Handle a variety of business and personal special projects such as event planning, gift 
buying, catering, online orders and returns, supplies, etc.
  •  Conduct research as needed
  •  Create agendas for meetings, join meetings with CEO and take thorough notes
  •  Represent the company with professionalism and create a welcoming environment for 
guests/clients/partners
  •  Provide additional support to other departments as needed

Basic Qualifications

  •  Bachelor’s degree or equivalent work experience
  •  Minimum 2 years of senior team level support experience
  •  Ability to work with a great deal of discretion, protecting sensitive personal and company 
information
  •  Extremely detail-oriented, organized and able to thrive in a fast-paced, deadline-driven 
environment
  •  Experience working with executives in a fast-paced environment preferably in 
technology, media, internet or related companies
  •  Highly proficient in Google Apps, particularly Google Calendar, and Google Docs
  •  Flexible: in terms of responsibilities and responsiveness with a positive “can-do” spirit
  •  Natural ability to multitask and prioritize in a dynamic environment
  •  Quick learner – have a “knack” for tech – able to figure out new systems and adapt on the 
go
  •  Independent: you will be able to work under little direction and exercise sound judgment 
when making time-sensitive decisions
  •  Team player: able to thrive in a team setting and willingness to help others
  •  Self-starter: knows when to trust instincts and when to ask for help
  •  Problem solver: you will be able to actively find a creative solution efficiently and 
proactively
  •  Professional demeanor and comfortable working with executives and VIP visitors
